ETHLETE LAB ACADEMY LOUNGE POLICIES, MEMBERSHIPS, AND SERVICES

 

USING THE SITE

 

To access certain areas of the site, users must create an account by providing their name, email address, preferred password, and other requested information. Ethlete Lab Academy (The Company) reserves the right to approve or deny account registrations at its sole discretion.

 

By using this site, you confirm that you are at least 18 years old or the legal age of majority in your country, or if you are between 13 and 18 years old (a "Minor"), you are using the site with permission from your parent or legal guardian who has agreed to these Terms. Parents or guardians who agree to these Terms on behalf of a Minor are fully responsible for the Minor’s use of the site, including any legal liabilities they may incur. Users under the age of 13 are not permitted to use the site.

 

The Company grants you a limited, personal, non-exclusive, and non-transferable license to use the site and its content only as permitted by these Terms.

CODE OF CONDUCT

 

Ethlete Lab Academy is committed to fostering a safe, respectful, and inclusive environment where all members can thrive. This Code of Conduct outlines behavior expectations for all participants, ensuring that our community remains positive and welcoming for everyone.

 

Respect and Inclusivity

 

All members must treat others with kindness, respect, and courtesy. Discriminatory, hateful, or offensive speech or actions based on race, gender, sexuality, religion, disability, or background will not be tolerated. Everyone is expected to contribute to a positive and inclusive atmosphere.

 

Language and Behavior

 

Offensive, profane, or inappropriate language is prohibited in all areas of the facility, including in verbal conversations, written communications, and online interactions. Disruptive or aggressive behavior, including shouting, threats, or intimidation, will result in immediate disciplinary action.

 

Bullying and Harassment

 

Bullying, harassment, or any form of intimidation, whether physical, verbal, or online, is strictly prohibited. This includes cyberbullying, spreading false information, or targeting individuals with unwanted or harmful communication. Any member found engaging in these behaviors may face disciplinary actions, including suspension or permanent removal from ELA.

 

Sportsmanship and Fair Play

 

Members must engage in fair play, honesty, and mutual respect in all activities. Cheating, exploiting game mechanics, or unsportsmanlike behavior will not be tolerated. Winning and losing with grace is an essential value at ELA. Members should encourage one another and maintain a positive gaming environment.

 

Personal Responsibility

 

Members are responsible for their personal conduct and actions while at ELA. Any intentional damage to equipment, misuse of facilities, or disregard for policies will result in consequences, including financial liability for damages and potential suspension from activities.

 

Appropriate Use of Technology

 

Use of computers, gaming consoles, and other technology must comply with ELA policies. Viewing or sharing inappropriate, offensive, or illegal content is strictly prohibited. Members should use the provided technology for educational and recreational purposes in accordance with ELA guidelines.

 

Respect for Staff and Peers

 

Members must follow the directions of staff members and instructors at all times. Any form of defiance, insubordination, or deliberate disruption of activities will be addressed accordingly. Staff are here to ensure a safe and engaging environment for all participants, and their instructions must be followed.

 

Physical and Emotional Safety

 

Physical aggression, including pushing, shoving, or fighting, will not be tolerated. Members must also respect others' emotional well-being and avoid contributing to a negative or toxic environment. Creating a safe and supportive community is a shared responsibility among all members.

 

No Gambling or Betting

 

Gambling of any kind, including betting on games or matches, is strictly prohibited within the facility and during any ELA-sponsored activities. Any violation of this rule will result in immediate disciplinary action, up to and including suspension or permanent removal from ELA.

 

Dress Code

 

Members must wear appropriate clothing while in the facility. Clothing that contains offensive imagery, language, or references to drugs, alcohol, or violence is not permitted.

 

Substance-Free Environment

 

The use of alcohol, drugs, vaping, or tobacco products is strictly prohibited within the facility and at any ELA events.

 

Policy Enforcement

 

Violations of this Code of Conduct may result in warnings, temporary suspension, or permanent removal from ELA programs, depending on severity. ELA reserves the right to remove any member who does not adhere to these expectations without a refund.

 

SAFETY POLICIES

 

ELA's Safety Policies are designed to ensure a secure environment for all participants, covering emergency procedures, medical readiness, and accident prevention. Safety is our top priority, and all staff, participants, and visitors are expected to comply with these policies to maintain a safe and inclusive environment for everyone.

 

General Safety Guidelines

  • Participants must follow all posted safety instructions and listen to staff at all times.

  • Running, roughhousing, or any behavior that could cause harm to oneself or others is strictly prohibited.

  • Any spills, damaged equipment, or unsafe conditions should be reported to a staff member immediately.

  • Fire exits must be kept clear at all times, and participants should familiarize themselves with evacuation routes.

 

Child Protection

  • All staff and volunteers undergo background checks before beginning their roles.

  • No staff or volunteer will have unsupervised access to children until their background check is complete and approved.

  • Staff are trained in child safety and are expected to intervene in any situation where a child's safety is at risk.

  • Parents and guardians are responsible for ensuring their child's appropriate behavior and adherence to safety policies while attending ELA events or using the lounge.

 

Medical Emergencies

  • Medical emergencies will be handled by trained staff, and emergency contact information must be provided for all minors.

  • A designated first aid station is available, equipped with necessary medical supplies.

  • Parents/guardians will be contacted immediately if a child requires medical attention beyond basic first aid.

  • If a participant has specific medical conditions, allergies, or medications, they must disclose this information upon registration to ensure proper accommodations can be made.

 

Emergency Procedures

  • Regular emergency drills, including fire and severe weather drills, are conducted to ensure staff and participants are prepared for unexpected situations.

  • In case of fire, all participants and staff must evacuate the building immediately and proceed to the designated meeting point.

  • Severe weather or shelter-in-place emergencies will be handled following pre-established protocols, with clear communication provided to parents/guardians as necessary.

  • Staff are trained in CPR and emergency response protocols to handle urgent situations.

 

Incident Reporting

  • Any accidents, injuries, or violations of safety policies must be reported to an ELA staff member immediately.

  • Incident reports will be documented and reviewed to ensure future safety improvements.

  • Repeated violations of safety policies by a participant may result in suspension or removal from ELA activities.

 

Facility Cleanliness and Sanitation

  • Workstations, gaming equipment, and seating areas are regularly cleaned and disinfected to maintain a safe and hygienic environment.

  • Participants are encouraged to wash their hands frequently and utilize provided hand sanitizer stations.

  • Eating and drinking are only allowed in designated areas to prevent damage to equipment and ensure cleanliness.

 

Technology and Cyber Safety

  • Participants must use ELA-provided technology responsibly and in accordance with facility rules.

  • Viewing or sharing inappropriate, offensive, or illegal content is strictly prohibited.

  • Staff monitor online activities to ensure a safe and respectful digital environment for all participants.

 

By entering the facility and participating in ELA programs, all members and visitors agree to adhere to these safety policies to create a secure and welcoming experience for everyone. All participants, parents, and staff are expected to comply with these guidelines to maintain a safe learning and gaming space.

 

MEMBERSHIP GUIDELINES

 

ELA offers various membership options, each with its own benefits and policies. Membership provides access to the gaming lounge, discounted classes, camps, and events, and other exclusive perks. Members must adhere to the following guidelines to maintain their benefits and ensure a positive experience for all participants.

 

Membership Benefits

  • Access to the gaming lounge during designated membership hours.

  • Discounts on classes, camps, and private party rentals.

  • Priority booking for events and special promotions.

  • Exclusive access to members-only tournaments and competitions.

 

Eligibility

  • Memberships are available for individuals aged 8 and older.

  • Classes are divided by grade level to ensure appropriate learning experiences.

  • Parents or guardians must complete registration for minors and ensure that all membership terms are understood.

 

Membership Fees & Auto-Renewal

  • Memberships are billed on a recurring basis (monthly, quarterly, or annually) based on the plan selected at the time of enrollment.

  • Memberships auto-renew unless canceled by the member before the next billing cycle.

  • Payment information must remain up to date to prevent interruptions in access.

 

Upgrading & Downgrading Memberships

  • Members may upgrade their membership at any time, with the difference in cost prorated based on the remaining billing cycle.

  • Downgrades take effect at the start of the next billing cycle, with no prorated refunds issued for the current cycle.

  • All membership change requests must be submitted at least three business days before the next billing cycle to take effect.

 

Freezing Memberships

  • Members may freeze their membership twice per year for up to 60 days with a $15 hold fee unless waived for medical or military reasons. Medical freezes require a doctor's note, and military freezes require deployment documentation.

  • During a freeze, membership benefits — including lounge access and discounts — are paused until reactivation. If a waiver does not apply, a $15 hold fee will be charged instead of the regular membership fee.

  • Freeze requests must be submitted in writing at least five business days before the next billing cycle to ensure processing.

  • Medical freezes may be extended beyond 60 days with proper documentation, while military freezes last for the duration of deployment.

  • Members cannot cancel their membership while it is frozen; they must resume payments before requesting cancellation.
     

Membership Cancellations

  • Members may cancel their membership by providing at least 10 business days' notice before the next billing cycle.

  • Membership cancellations must be submitted in writing via email or in writing and given to our front desk.

  • Once canceled, membership benefits—including lounge access, discounts, and any associated perks—will remain active until the end of the current billing period but will not renew.

  • Refunds are not issued for unused time on an active membership, and partial months are not prorated.

  • If a member cancels their membership but wishes to rejoin at a later date, they may be subject to any updated pricing and policies in effect at the time of re-enrollment.

  • Members who cancel after their billing date has passed are responsible for that final payment, as cancellations apply to future billing cycles and are not retroactive.

 

Behavior Expectations for Members

  • Members are expected to follow all facility rules, including the Code of Conduct and Safety Policies.

  • Repeated violations or disruptive behavior may result in suspension or termination of membership without a refund.

  • ELA reserves the right to revoke membership for any participant who engages in conduct that negatively impacts the community.

 

Sibling Discounts & Family Memberships

  • A 10% sibling discount applies to memberships, classes, and camps for families enrolling multiple children.

  • Discounts apply only while all eligible memberships remain active and cannot be applied retroactively.

 

By becoming a member of ELA, participants and their guardians agree to adhere to these membership guidelines, ensuring a positive and structured experience for all members.
